How this report worksWhat each flag means, and the data behind it
- Gone quiet. At least 5 orders, and the last one more than 120 days ago and more than 2× the customer's own usual gap. At risk per year: what they bought in the year before they went quiet.
- Buying less. The last 90 days at least 25% below the same 90 days a year earlier (which had at least $5,000 across 4+ orders). Same season a year apart, so seasonality cancels out. At risk per year: the drop, at that pace for a year.
- Reorder due. A part ordered on at least 6 separate dates in the last 2 years, now more than 1.3× past its usual interval (parts also skipped at this time last year are left out as seasonal). At risk per year: a typical order × how often they order it.
- Growing. Bought at least $5,000 in the 12 months before and is up at least $10,000 and 15% in the last 12.
Values are in gross profit dollars (sales minus the cost on each invoice line). Per-year values assume the business stays lost at the current pace: an upper bound, not a forecast. Every figure is calculated from the sales history; the same data always gives the same report, and none of it is generated by AI. Locations under one parent account are counted together.
